Role purpose

To help us create a fair and equal society for all disabled people, we need to build a movement of people committed to achieving social change and volunteers are integral to this. We’re looking for someone who is passionate about ensuring volunteers have a great experience. We involve volunteers in our network of retail shops, services, fundraising events, office teams and community engagement work. In this job, you will be responsible for supporting projects that improve the Scope volunteer experience and operationally delivering some of our business as usual work. You will be a crucial player in a small Volunteering team which acts as the organisation's volunteer management experts, developing and improving the volunteer experience, supporting and empowering staff to deliver quality experiences, and working with teams across the organisation to develop new volunteer roles and programmes.

Main responsibilities and accountabilities

  • Manage and support varied projects that improve the Scope volunteer experience and improve accessibility and inclusion across our volunteering programmes.
  • Advise volunteer managers on handling complex volunteer management problems and complaints relating to volunteering.
  • Produce regular reports based on volunteer data and insights, maintain volunteer database, and ensure we maintain accurate contact information to support our communications.
  • Advise on volunteer recruitment approaches and advertise volunteer vacancies by quality assuring role descriptions, writing and uploading adverts to external websites, adding content to our website using our Content Management System, contacting Volunteer Centres and making other community links.
  • Deliver, evaluate and develop Scope’s annual volunteer awards programme, coordinating all operational aspects and enabling the organisation to move towards monthly celebrations for long service milestones.
  • Use evidence and insight to plan and deliver volunteer communications, sourcing volunteer stories, editing volunteer blogs, and using MailChimp to send emails and monitor readership.
  • Act as a first point of contact, responding to enquiries from prospective volunteers, volunteer managers, partner organisations, placement providers and other external organisations, and signposting where appropriate.
  • Lead on producing materials that enhance the volunteer journey at Scope and deliver a recognisable Scope volunteer experience.
  • Manage, monitor and produce reports on all channels of communication and correspondence to the team, including phone calls and the Volunteering team email inbox.
  • Support the development of training and resources for volunteers and volunteer managers.
  • Lead own work areas and take an active role in other organisational initiatives.
  • Represent Scope at external meetings, events and conferences.
  • Promote the benefits of volunteering at Scope in internal communications and externally.
  • Provide other administrative and operational support to the Volunteering team as required.
  • Identify how this post and the wider team’s reach and effectiveness could be enhanced by volunteer involvement, and recruit, train and manage volunteers for this purpose, in line with volunteer management best practice.
  • Work seamlessly across department or team boundaries in a collaborative and constructive manner to implement Scope’s strategic direction.
  • Work within Scope’s policies and procedures.

Grade specific competencies

  • Lead effective and engaging monthly team meetings based on Scope team meeting template, reporting back on key issues and questions raised.
  • To recruit, manage and develop staff within Scope’s HR and operational policies and procedures.
  • To utilise volunteers appropriately within the department. To encourage and appreciate staff who support Scope outside of their job role by volunteering in shops, events or services or by other discretionary efforts.
  • To encourage team members to maximise potential through continuous learning whilst challenging and dealing with under performance.
  • Ensure that effective and engaging monthly team meetings happen within your area based on the Scope team meeting template and those issues and questions are reported back.
