Key information

The historic collections are moving to displays and storage providing an exciting logistical challenge. The post holder will work closely with colleagues and contractors to coordinate cross-site activity and support the Collections Move team to ensure smooth and efficient coordination of the collections move project including vehicle bookings, administrative duties, raising purchase orders, and contractor supervision.

About the role

  • Provide practical and administrative support to the Collections Move team, coordinating activity across sites, liaising daily with transport contractors, facilities management team, storage contractors, security, internal and external stakeholders. Manage the Collection Move rota and schedule to ensure efficiency and effective use of staff resource in line with project priorities.
  • Responsible for inputting and checking information on the new cross-site delivery management system, scheduling vehicle, equipment and space bookings.
  • Maintaining and developing transport logistics procedures for use at London Wall, London Museum Stores and Smithfield. Organising access, security passes, staff and contractor site inductions, responding to queries and swiftly communicating changes.
  • Work with the Project Manager to develop and maintain a two-weekly look ahead programme capturing critical cross-site activity for planning and dissemination.
  • Manage the project damage and near miss reporting log and incident tracker connected with the safety and security of the collection and team.
  • Support Collections Move Lead and Project Manager (Collections) with records management. Filing in SharePoint and keeping records such as Risk Assessments and Method Statements up to date. Ensuring accurate management reporting on a monthly basis.
  • Organise team training and monitor health and safety requirements to ensure they are kept up to date. 
  • Provide administrative support including booking meetings, onboarding new staff, taking and producing minutes for meetings, and raising Purchase Orders and following up suppliers
  • Lead on distinct mini projects as required for example disposal of non-collection assets, or planning the movement of specific groups of objects, records and archives.
