Key information

We are looking for an exceptional Project Coordinator to join the New Museum Project Management Office and support the delivery of this once-in-a-generation project with a particular focus on the galleries and exhibitions. This role would suit someone who is driven, organised and creative, with an impeccable eye for detail.

Fixed term contract to 31 December 2026 (with potential to extend)

About the role

  • Undertake tasks and support management of work packages as assigned by the New Museum Project Management Office (for example, the design development of specialist and fit-out packages for the New Museum) to time and budget, working with project teams.
  • Lead designated smaller, low-risk work packages as required, with guidance from colleagues.
  • Assist with the development of briefs and other project documentation.
  • Assist with the preparation of reports and other management information and support the team to keep track of progress across various work packages.
  • Coordinate project governance groups and key meetings by liaising with the New Museum Project Team to set agendas, prepare presentations and reports, produce accurate records including minutes and actions and decisions logs, and proactively follow up actions arising.
  • Coordinate stakeholder engagement activity for the project, promoting the work of the team and maintaining effective working relationships.
  • Champion internal communications working closely with the Communications and Digital teams to supply project assets for engaging and informative content.

Requirements

  • Experience of working in a complex project and multi-task office environment with the ability to manage a wide variety of tasks.
  • Highly organised with the ability to prioritise, plan and manage time effectively.
  • Ability to communicate confidently and effectively with people at all levels both verbally and in writing.
  • Excellent attention to detail, with strong analytical and numerical skills.
  • Experience of stakeholder engagement activity with the ability to act in a diplomatic manner.
  • Self-motivated with a creative approach, a strong sense of initiative and the ability to work well within a team.
  • Excellent computer literacy including Microsoft 365 and Office
