This is an exciting opportunity to join the team at Wakehurst, Kew's wild botanic garden in Sussex, as Event Coordinator.

About the role

  • To respond promptly to incoming sales enquiries via telephone, face to face and email, with a target of same-day response wherever possible.
  • To answer all enquires in a professional manner and maximise sales opportunities at all times.
  • To conduct show rounds of Wakehurst’s venues, ensuring the spaces are presented to the highest standard.
  • To actively maintain a client database for all Wakehurst venue hire and event activity.
  • To promote the organisation’s objectives of conservation and sustainability through venue hire sales.
  • To effectively plan and manage the expectations and requirements of the customer to ensure a successful event.
  • To liaise with catering and external suppliers in line with agreed service levels and performance standards.
  • To implement the appropriate procedures and factor in and implement the relevant aspects of the Licence Agreement and to always ensure the protection of Kew’s assets
  • To work alongside internal stakeholders to ensure events are communicated effectively throughout the organisation, developing solid working relationships with other departments.
  • To maintain effective communication with the wider Venue Hire team, ensuring consistent standards, processes and knowledge sharing across Wakehurst and Kew Gardens.
  • To effectively represent the Venue Hire team at internal meetings to ensure the establishment and maintenance of trust and respect within the Gardens for the ability and expertise of the team.

Requirements

  • Previous experience of coordinating high-quality weddings, corporate events or venue hire activity, preferably within a hospitality, heritage, visitor attraction or similar environment.
  • Customer service experience and demonstrable achievement of high standards of customer care
  • Excellent communication and stakeholder management skills.
  • Experience of working with external suppliers and contractors.
  • Ability to remain calm and prioritise effectively in a fast-paced environment
  • Commercial awareness and ability to identify opportunities to maximise revenue
  • Attention to detail and able to work on own initiative
  • Excellent IT literacy in Word, Excel, Momentus (preferable)
