Job description

Role purpose:

To work with other members of the Database Team to maintain and administer the Raiser’s Edge database, to maximise the efficiency and use of the database across the organisation, and to assist in Direct Debit processing and Gift Aid claims.

Main responsibilities and accountabilities:

General

  • To work seamlessly across department or team boundaries in a collaborative and constructive manner to implement Scope’s strategic direction.
  • To demonstrate a commitment to customer service excellence and deliver against the requirements of Scope’s quality framework.
  • To work within Scope’s policies and procedures at all times.

Role specific

  • Maintaining accurate and up to date records on The Raiser’s Edge and spreadsheets as required
  • Compiling reports and answering queries on fundraising activity
  • Setting up and maintaining appropriate filing systems for the easy retrieval of documentation
  • Proactively participating in the development of administration systems and processes
  • Contribute to department projects and initiatives

Specific tasks assigned

  • To take responsibility for the updating and additions of existing and new information to and from The Raiser’s Edge, including liaising with external agencies on specifying import/export/reporting requirements and processes, and to provide relevant documentation.
  • To work closely with the Fundraising and other internal teams using external agencies for data capture to ensure that all data requirements are met.
  • To ensure that all agencies are capturing data accurately and with due regard to data protection and other regulations.
  • To work with the Fundraising and other internal teams on the accurate and timely export of data to third party agencies for fundraising appeals and follow-up activity.
  • To assist in the processing of Direct Debits and claiming Gift Aid
  • Reconciling The Raiser’s Edge data with other sources of data, reporting and maintaining audit trail
  • To write and maintain user guides and document processes for any new uses of the Raiser’s Edge
  • To provide training for new users on the Raiser’s Edge
  • To provide first line support for users of the Raiser’s Edge
  • Identifying improvements to existing processes to increase the effectiveness and efficiency of the Raiser’s Edge, planning, documenting and implementing recommendations in consultation with the Database Manager
  • To provide data extractions for members of the Fundraising Teams and other Raiser’s Edge users.
  • To identify consistency and accuracy issues in The Raiser’s Edge and provide resolutions to these, in addition to carrying out housekeeping tasks to maintain data quality

Person specification

Knowledge and Experience

Essential

  • Experience of working with data and CRM software specifically Raisers Edge within a Database team
  • Able to work accurately and show attention to detail
  • An interest in, and aptitude for information systems
  • Experience of using Microsoft Excel

Desirable

  • An understanding of fundraising principals
  • An understanding of Gift Aid and Direct Debit processing
  • Experience of using other Microsoft tools
