Job description

Role purpose

As a Recruitment Coordinator you will play a key role in supporting the People Team. You will provide recruitment administrative support to line managers, applicants and candidates so we can provide an excellent recruitment and onboarding experience. You will work closely with People Team managers and other team members to ensure the smooth operation of recruitment processes and procedures.  The role requires strong organisational, attention to detail and team working skills

Main responsibilities and accountabilities

  • To support role advertising by checking adverts for consistency as per the recruitment plan and sending them on for external advertising.
  • Supporting interview scheduling, ensuring that the Disability Confident Scheme has been prioritised.
  • Administering the end-to-end onboarding process, ensuring a positive experience for new colleagues.
  • To be the first point of contact for onboarding and DBS enquires from applicants and colleagues and keeping relevant managers up to date with progress.
  • To be the first point of contact for general recruitment enquires into the team inbox daily, flagging emails where necessary, take ownership of filing emails and responding to general emails.
  • To assist with any recruitment administration support to hiring managers if required including: all pre-employment checks, DBS checks, references in line with our safer recruitment policy, right to work checks and ensure all are complete before a colleague starts with Scope.
  • To lead on weekly reporting relating to onboarding and DBS activity, managing and updating the recruitment trackers.
  • Closely managing the right to work visa and DBS renewals.
  • Provide advice and guidance to hiring managers, applicants and candidates regarding recruitment processes.
  • Provide cover for team members for holiday and absences.
  • Manage the weekly recruitment panel process, requests and spreadsheet.
  • Maintain appropriate resources, data bases and record keeping providing regular reporting.
  • Collating and sending weekly internal jobs to internal communications team.

  • Closing off roles and ensuring roles are up to date in iTrent, ensuring all applicants receive a communication regardless of outcome.
  • Ensure delivery of KPI’s relating to recruitment timelines and help deliver a high level of customer service to everyone.
  • Keep up to date with new developments relating to recruitment, including employment law and assist in the updating of recruitment policies and procedures and the review of HR internal work processes to optimise efficiency and compliance with legislation.
  • Support the review and updating of our current onboarding approach with the Learning and Development Team. This may include assisting with the updating of Manager and HR guides and letter templates.
  • Provide insight into the experience of candidates throughout the application and onboarding experience, speaking to candidates through their journey.
  • Promote the People team and to be a ‘go to’ recruitment resource, contributing to projects as required

  • Comply with GDPR regulations ensuring interview notes and other information is collected and saved appropriately.
  • Contribute to continuous improvement of HR systems and processes.
  • Work collaboratively with the People Team administratively as and when required.

Person Specification

Knowledge and experience

Essential

  • Administrative experience in an office environment
  • Carrying out administrative duties efficiently, to work accurately and to prescribed deadlines.
  • Onboarding or recruitment processing experience
  • A basic understanding of HR best practice and employment legislation
  • Ability to follow GDPR policies on onboarding.
  • Confident in diary scheduling and appointment making.
  • Confident in speaking to third parties for reference checks.
  • DBS processing experience
  • Enthusiastic outcome-focused attitude and approach to supporting customers.
  • Willingness to work outside position description where required.

Desirable

  • A relevant HR qualification.
  • Disabled or have lived experience of disability.
  • Experience of developing & implementing new ideas or processes
  • Use of uCheck DBS system
  • Previous HR/Recruitment administrative role/s
